Peak Rebate LLC ("we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information. This policy applies to all users of the Peak Rebate HVAC and plumbing rebate verification service, including the website, SMS interface, and API.

Contractor Information
- Phone number (for SMS-based service)
- Email address (for account registration)
- Company name (for Pro and Enterprise tiers)
Equipment Information
- HVAC and plumbing equipment model numbers (heat pumps, furnaces, heat pump water heaters)
- Serial numbers
- Nameplate photos (for OCR processing)
- Indoor and outdoor unit pairings
Homeowner Information (Claim Filing Only)
- Homeowner name
- Installation address
- Installation date
- Invoice photos
Automatically Collected
- IP address and browser type (website visits)
- Timestamps of service interactions
- Lookup and claim activity logs
2. How We Use Your Information

3. What We Never Do
- We never sell personal data to third parties, advertisers, or data brokers.
- We never share homeowner information with anyone other than the submitting contractor and the relevant rebate program.
- We never use homeowner data for marketing of any kind.
- We never retain data longer than necessary — homeowner information is automatically purged 90 days after claim completion.
4. Data Security
We implement the following security measures to protect your information:
- All data transmitted between your device and our servers is encrypted using 256-bit SSL/TLS.
- Homeowner data is stored in encrypted databases with access restricted to essential service operations.
- Nameplate and invoice photos are processed in memory and stored only for the duration needed to complete the claim.
- We conduct regular reviews of our security practices and access controls.
- Employee access to personal data is limited to personnel who require it to provide the Service.
5. Data Sharing
We share information only in these limited circumstances:
- With rebate programs: Claim data is compiled into PDF summaries for submission to Xcel Energy, HEAR, or other rebate programs — at the contractor's direction.
- Service providers: We use Twilio for SMS delivery. Twilio processes phone numbers and message content under their own privacy policy.
- Legal requirements: We may disclose information if required by law, court order, or governmental request.
6. SMS Messaging Policy
Peak Rebate provides an SMS-based service for HVAC and plumbing equipment verification and rebate claim filing. By texting your HVAC or plumbing equipment model number or other information to our service number, you expressly consent to receive automated text messages from Peak Rebate related to:
- Equipment verification results and rebate eligibility
- Claim filing status updates and document collection prompts
- Payment confirmations and form delivery links
- Service announcements relevant to your active claims
Message Frequency
Message frequency varies based on your usage. During active equipment lookups, you may receive 2-5 messages per interaction. During the claim filing process, you may receive 5-10 messages over several days as we collect required documentation. You will not receive marketing or promotional messages.
Opt-Out
You can opt out of SMS messages at any time by replying STOP to any message from Peak Rebate. After opting out, you will receive one final confirmation message. You may re-enroll at any time by texting a model number to our service number.

Message and Data Rates
Message and data rates may apply. Peak Rebate does not charge for SMS messages, but your mobile carrier's standard messaging rates apply. Check with your carrier for details.
Carrier Compatibility
SMS service is available on all major U.S. carriers including AT&T, Verizon, T-Mobile, and Sprint. Service may not be available on all carrier plans.
Phone Number Privacy
We do not sell, rent, or share your phone number with third parties for marketing purposes. Your phone number is used solely to provide the Peak Rebate service and communicate claim-related information. Phone numbers are shared with our SMS provider (Twilio) only as necessary to deliver messages. See Section 5 (Data Sharing) for details.
7. Your Rights
Under the Colorado Privacy Act and applicable law, you have the right to:
- Access: Request a copy of the personal data we hold about you.
- Correct: Request correction of inaccurate information.
- Delete: Request deletion of your personal data. Homeowner data is automatically deleted 90 days post-claim.
- Portability: Request your data in a machine-readable format.
- Opt out: You may opt out of SMS service at any time by texting STOP.

8. Cookies and Tracking
Our website uses minimal cookies necessary for site functionality. We do not use advertising cookies, third-party trackers, or behavioral analytics. We do not build advertising profiles or share browsing data with third parties.
9. Children's Privacy
The Service is intended for licensed HVAC and plumbing contractors and is not directed at individuals under 18 years of age. We do not knowingly collect information from minors.
10. Changes to This Policy
We may update this Privacy Policy periodically. Material changes will be communicated via email or notice on the Service at least 30 days in advance. The "Effective Date" at the top will be updated accordingly.
